Event Media Policy

Capturing Innovation. Respecting Privacy.

At Intellibus, we are committed to showcasing the innovation, collaboration, and community spirit that make our Hackathon an unforgettable experience.

Throughout the event, authorized photographers, videographers, and media representatives will capture photographs, video, audio, and other digital content to celebrate participants and promote future initiatives.

Your privacy and comfort are important to us. This policy explains how media will be collected and used during the Intellibus Hackathon.

Why We Capture Media

Photography and video help us share the impact of the Hackathon with our community, partners, sponsors, schools, and future participants.

Media may be used for:

  • Event highlights and recap videos
  • Social media content
  • Intellibus website and blog
  • News articles and press releases
  • Marketing campaigns
  • Recruitment and employer branding
  • Community and STEM initiatives
  • Future Hackathon promotions
  • Corporate presentations and annual reports

What May Be Captured

During the event, Intellibus may capture:

  • Individual and group photographs
  • Team photos
  • Video footage
  • Event livestreams
  • Drone footage (where permitted)
  • Interviews and testimonials
  • Award ceremonies
  • Workshops and technical sessions
  • Networking activities
  • Behind-the-scenes content

Your Consent

By registering for and attending the Intellibus Hackathon, you acknowledge that photography, videography, and audio recording will take place throughout the event.

You grant Intellibus permission to use photographs, video recordings, audio recordings, and your likeness for promotional, educational, editorial, and marketing purposes without compensation.

This includes publication across:

  • Intellibus social media channels
  • The Intellibus website
  • Digital advertising
  • Printed promotional materials
  • Media publications
  • Event recap videos
  • Future Hackathon promotions

Participants Under 18

Protecting young participants is a priority.

Participants under the age of 18 must have consent from a parent or legal guardian before being featured in individual photographs, interviews, testimonials, or promotional videos.

Parents or guardians will be asked to complete a Media Consent Form during registration.

Respecting Your Privacy

We strive to represent every participant professionally and respectfully.

Intellibus will never intentionally use photographs or videos that portray individuals in an offensive, misleading, discriminatory, or inappropriate manner.

Sensitive personal information will never be published without additional consent.

Interviews and Testimonials

Participation in interviews or testimonials is completely voluntary.

If you are approached for an interview, you may decline at any time without affecting your participation in the Hackathon.

Prefer Not to Be Photographed?

We understand that some attendees may not wish to appear in promotional media.

If you prefer not to be photographed or recorded, please notify the Registration Desk when you arrive.

Our event team will identify you with a designated wristband or badge indicator so our photographers and videographers can make every reasonable effort to avoid capturing identifiable images of you.

Please note that while we will do our best to respect your request, we cannot guarantee exclusion from wide-angle crowd or audience photographs where individuals are not the primary subject.

Photography by Attendees

We encourage participants to capture and share their Hackathon experience.

When posting on social media, we ask that you:

  • Respect the privacy of others.
  • Obtain permission before recording close-up videos or interviews.
  • Avoid sharing confidential project information without your team's approval.
  • Use respectful and appropriate language and content.

Official event hashtags will be shared before the Hackathon.

Media Ownership

All photographs, videos, audio recordings, graphics, and other media created by Intellibus or its authorized media partners remain the property of Intellibus.

These materials may be edited, reproduced, published, archived, or reused for future promotional and educational purposes.
