Media Policy

Effective date: August 24, 2026

1. Purpose

Intellibus documents the Intellibus Hackathon (the "Hackathon") through photography, video, and audio recording, and shares this content publicly to promote the Hackathon and celebrate its participants. This Media Policy explains what this involves, the rights you grant to Intellibus by attending, and how you can opt out.

2. Scope

This Media Policy applies to all participants, team leads, mentors, judges, volunteers, sponsor representatives, and guests (collectively, "Attendees") present at the Hackathon venue, for the duration of the event, from check-in through the conclusion of the award ceremony.

3. Capture at the Hackathon

Photography, video, and audio recording may take place anywhere throughout the Hackathon venue and at any point during the event, including during team work sessions, presentations, pitches, and award ceremonies. Capture is not limited to designated areas or specific times.

4. Consent and License Granted

By attending the Hackathon, and except as you elect to opt out under Section 5, you consent to being photographed, filmed, and audio-recorded, and you grant Intellibus a non-exclusive, worldwide, royalty-free, perpetual license to use, reproduce, edit, and publicly display your name, image, likeness, and voice as captured in such photographs, video, and audio recordings, on any platform, including Intellibus's website, social media channels, press materials, and marketing and recruitment materials, without further notice, compensation, or approval.

5. Opting Out

If you do not wish to be featured in photographs or video that Intellibus publishes for promotional purposes, you may request an opt-out lanyard at check-in. Intellibus's photography and videography team will make reasonable efforts to identify Attendees wearing the opt-out lanyard and to exclude them from published promotional content.

Because capture at the Hackathon is not restricted to designated areas (see Section 3), Intellibus cannot guarantee that an opted-out Attendee will never appear incidentally in the background of published content, and cannot control photography or video taken by other Attendees using their own personal devices, which falls outside the scope of this Policy.

6. Minors

Where an Attendee is under the age of 18, the consent described in Section 4, or the election to opt out described in Section 5, must be provided by that Attendee's parent or legal guardian, consistent with the parental consent process described in the Hackathon's Privacy Policy.

7. Ownership

Photographs, video, and audio recordings created by or on behalf of Intellibus at the Hackathon are owned by Intellibus. This Media Policy does not affect ownership of Submissions or other intellectual property, which is addressed separately in the Terms and Conditions.

8. No Compensation

No Attendee is entitled to any compensation, fee, or royalty for Intellibus's use of their name, image, likeness, or voice under this Media Policy.

9. Duration

The license described in Section 4 continues indefinitely, including after the conclusion of the Hackathon, subject to your right to request removal under Section 10.

10. Takedown Requests

If you would like Intellibus to remove specific published content featuring you, contact jamaica@intellibus.com with details of the content in question. We will make reasonable efforts to honor such requests but cannot guarantee removal of content that has already been shared, redistributed, or republished by third parties outside our control.

11. Changes to This Policy

Intellibus may update this Media Policy from time to time. The current version will always be available on this page, together with its effective date.
